Assistant University Archivist/Records Manager

Job Summary Provide professional assistance in activities involved in the acquisition, indexing, storage and dissemination of a variety of historically valuable University records and documents in all appropriate formats.
Major Responsibilities · Maintain a print and digital records retention program for the University.
· Carry out policies and procedures related to the acquisition, arrangement, description, processing and preservation of archival materials.
· Help ensure the integrity and protection of records essential to the documentation of the University's development and function.
· Prepare document descriptions and reference aids for use of archives such as accession lists, indexes, guides, bibliographies, abstracts, and digital copies of documents;
· Advise outside agencies, scholars, journalists, and others concerning the history of the University; carry out policies related to access to confidential materials.
· Work within fiscal requirements and budget of program.
· Provide collection development, services, and information training.
· Assist in the appraisal, acquisition, processing, preservation, digitization, and use of records of enduring value. Advance access and scholarship through the publication of online finding aids, selective digitization of unique holdings, and other initiatives.
· Work closely with administrative and academic offices to ensure the proper scheduling of University records, identify records of enduring historical value, insure that such records are accessioned in a timely manner, and develop priorities for records processing.
· Promote visibility and use of the collections and services of the University Archives through exhibitions, presentations, publications, dissemination of online digital content, and other outreach activities.
· Work closely with The University Office of Information Technology to insure that electronic records are authenticated, accessible, and preserved.
· Collaborate with the library and IT staff to select records for digitization, archive digital records and publications, and make them accessible online through the Institutional Repository.
· Participate in appropriate professional archival or library organizations in the state, nationally and internationally.
· Keep abreast of and make contributions to professional literature, activities of professional organizations, and scholarly developments in pertinent subject areas.
· Other tasks as requested by supervisor.

Technical Skills · Experience with archival and records management standards and best practices, such as the International Standards on Records Management ISO 154489.
· An appreciation and understanding of the issues involved in the preservation and use of print and electronic records.
· Understanding of how to effectively integrate records management into a university library program.
· Ability to use information technology applications in an archives or library, such as digitization technology, databases, and web page design.
· A familiarity with maintaining and using subject-based categorization and archive databases
· Knowledge of web and database administration skills
Non-Technical Skills or Attributes
· Excellent verbal and written communication skills.
· Ability to work effectively in a team and individually with faculty, staff and students.
· Demonstrated knowledge of and enthusiasm for the integration of new technologies in the delivery of library and archival services.
· A background in the history of science and information technology
· Fluent English communication skills

· Strong analytical and organizational skills.
Required Education · Bachelor’s degree required with a Masters degree or above in library or archival science preferred.
Required Experience Minimum of 3 years experience in records administration, archival management or related library work.
